Privacy Policy
This policy explains what happens to your data when you talk to ARIA, the DBPSC Employee Help Desk voice assistant.
What ARIA collects
When you start a call, ARIA may collect:
- Audio of what you say, recorded from your microphone one turn at a time.
- A text transcript of your speech, generated by our speech-to-text provider (ElevenLabs Scribe) from that audio.
- ARIA's spoken and text replies to you.
- The topic of your call, if you selected an example question to start, or if one is inferred from the conversation.
- Call metadata such as start time, duration, and an internal session ID.
How your data is used
Your audio and transcript are sent to ARIA's backend so it can understand your question and generate a reply. This data is used only to carry on the current conversation, produce a call summary for you, and support escalation to a human agent if ARIA cannot resolve your request.
If you don't select the "Call ARIA" option and the assistant isn't connected to a live backend, no audio or transcript leaves your browser — you'll see a preview conversation instead of a real call.
Where your data is stored
- During an active call, your session is held in server memory and identified by an opaque session ID. It is not linked to a persistent account profile by the frontend.
- A session that receives no activity for 15 minutes is automatically ended and its data is no longer accessible through that session ID.
- A summary of your call (topic, duration, key points, and status) is kept in your browser's session storage so you can review it after the call ends. This is cleared automatically when you close the browser tab.
- We do not use cookies or third-party analytics/tracking on this help desk.
Who your data is shared with
Your recorded audio is shared with our speech-to-text provider (ElevenLabs) solely to transcribe what you said. If ARIA escalates your call to a human support agent, relevant conversation details are shared with that agent so they can continue helping you. We do not sell your data or share it with advertisers.
Your choices
- You must actively consent before any call starts.
- You can end a call at any time, which stops any further recording.
- Avoid sharing sensitive personal information that isn't necessary to resolve your request.
